01 Getting Started

Navigate to the login page and enter your Username and Password provided by your system administrator. Check Remember me to stay signed in for 30 days. If you have forgotten your password, use the Forgot Password link on the login page.

The system works best with the latest version of Google Chrome, Microsoft Edge, or Mozilla Firefox. Internet Explorer is not supported. Enable JavaScript for full functionality.

Use the sidebar on the left to access all modules. Click in the top bar to collapse or expand it. Press Ctrl+K to open the global document search at any time. Press ? for a full list of keyboard shortcuts.
02 Documents

Click Upload Document in the sidebar or press Ctrl+N. Fill in the Memo Number, Date, Title, Category, and attach your file(s). Allowed formats: .pdf, .docx, .doc, .xlsx, .xls, .jpg, .png. Maximum file size is 10 MB per file.

There are two ways:
1. Global search: Press Ctrl+K from anywhere and type a memo number or title keyword — results appear instantly.
2. Advanced filter: Go to All Documents and expand the Search & Filters panel. Filter by memo number, title, category, status, date range, or keywords.

  • Draft — Document is being prepared and not yet released.
  • Published — Approved and officially released for use.
  • Archived — No longer active but retained for records.
Only users with the correct permission can change the status.

When you create a new version of an existing document, the previous version is automatically marked as not latest and a new record is created with the next version number (v2.0, v3.0 …). All versions share the same Memo Number and are linked together. The version history is visible on the Document Details page.

Yes. In the document list, click the button on any row. A small card appears with the QR code image. Use Download PNG to save it or Copy Image to paste it directly into a document or email.
03 Account & Password

Click your name in the top-right dropdown and select My Profile. On the profile page use the Change Password section. You need to provide your current password before setting a new one.

On the login page click Forgot Password? and enter your registered email address. You will receive a reset link. If you do not receive the email, check your spam folder or contact your system administrator to reset it for you.

Account activation and deactivation is managed by users with the User Management permission (Admin or SystemAdmin). Contact your IT department or system administrator to reactivate your account.
04 Permissions & Access

Menu items and buttons are shown based on your role and permissions. If you need access to a module you cannot see, ask your system administrator to update your role's permission set under Roles & Permissions.

  • SystemAdmin — Full access to all modules including system configuration, user management, and audit logs.
  • Admin — Can manage documents, categories, keywords, and users within their scope.
  • User — Can view and upload documents according to their assigned permissions.
Custom roles can be created with any combination of permissions.
05 Export & Reports

On the All Documents page, apply any filters you need then click the Export button in the table header. The file is downloaded as an .xlsx workbook containing all matching records (not just the current page).

Go to Audit Log in the Security section of the sidebar. Apply your date and filter selections, then click Export to Excel in the top-right. The export respects all active filters and includes the full data set.
